Review an Inbound Referral
Review a received referral and safely match or create its patient.
Inbound referrals arrive with a structured patient, insurance, sender, clinical, and attachment snapshot. Notification emails link back to the authenticated referral workspace and do not include patient details.
Permissions: You need referral management access to accept, decline, match, or create a patient from an inbound referral.
Review and accept
Open Referrals, then select the referral with Received status.
Review the patient identifiers, insurance, referral request, sender details, and attachments.
Compare the suggested patient matches using name, date of birth, phone, and email.
Do not use email alone to decide that two records belong to the same person.
Select the correct existing patient, or explicitly choose to create a new patient after checking that no safe match exists.
Accept the referral. Zscribe preserves the source referral and attachments in the patient record.
To decline, review the referral first and use the decline action. Declining does not create or merge a patient.
Avoid duplicate patients: If the match is uncertain, stop and verify the patient's identity before accepting. Zscribe never silently merges an inbound referral on email alone.
Troubleshooting
No patient match is shown. Search the patient list using the referral's name, date of birth, and phone. Create a new patient only after checking for alternate spellings and contact details.
An attachment is missing. Do not accept incomplete clinical information as complete. Contact the sender and request the missing document through an approved channel.
